    This application is a part of a vetting process where businesses or organizations may apply to appear at 2024 Firestone Special Events.

  4. Event staff reserve the right to refuse items or activities that are not appropriate for all ages, or that deviate significantly from the family-friendly focus of the event.
  5. We encourage each organization to provide a game or activity: yard games, craft or art projects, for a more immersive experience.

  6. Which date(s) would you like to attend?
    • Application fees are $100.00 per event. You will be invoiced after registration.
    • These events will be taking place outdoors. We plan to provide a 10’x10’ space. If you need more space, please contact Kaycee Lott at klott@firestoneco.gov.

    •  We will not be providing tables/chairs or canopies, but they are welcome (see below for rules and policies). Power will be limited. Please reach out to Kaycee Lott if your activity requires power.

    • Although we support outreach, enrollment, engagement, and marketing, this is not an event for direct or merchandise sales.

  7. RULES & REGULATIONS:
    • Vendors are encouraged to follow all zero-waste expectations. The zero-waste commitment must be signed with completed application and is available on our website.
    • All Town of Firestone Parks & Trail Rules and Policies apply.
    • Your contact list needs to be updated with Kaycee’s email address (klott@firestoneco.gov), otherwise communications may end up in spam.
    • All load-in documentation and event information needs to be shared with your day-of team.
    • Vendors are responsible for bringing their own equipment (canopies, tables, chairs and materials). Staking canopies is not permitted at the events, but all are REQUIRED to weigh down their tents (weights or cinderblocks at least 40 lbs. per leg -  sandbags are no longer considered acceptable weights) in case of high winds. Failure to do so may result in a fine issued by the Town of Firestone. *Per FFFPD policy, the canopy weight rule will be strictly enforced.
    • Event coordinators have the right to ask you to put away any item they deem inappropriate, which includes but not limited to: 
      • Guns, swords, whips or other weapons
      • Drug-related Items
      • Anything the depicts excessive violence  
      • Profanities
      • Scantily clad people
      • Gang-related items
    • Vendors must have an attendant at their booth at all times during the event. All event information needs to be shared with all day-of vendor staff.
    • All materials and equipment brought on the property shall be at the total risk of the vendor. Anything that would cause real or potential danger to any person will be prohibited.
    • Be conscientious of engagement materials. We encourage organizations to not distribute distributing brochures, flyers, stickers, temporary tattoos, or swag items that provide little value like slap bracelets, fidget spinners, foam balls, or other items that create landfill waste. Please bring yard games, crafts, or other activities that encourage interactive engagement. Please use reusable material with QR codes to support zero-waste efforts and swag that are not “single-use.”
    • All engagement will be limited to your assigned space. Please use reusable material with QR codes to support zero-waste efforts.
    • Vendors must remove all trash from the space upon breakdown or reimburse the Town of Firestone for  cleaning.
    • Food distribution will be allowed in designated areas only. All other vendors will not be allowed to distribute prepared food, even if complimentary (this includes candy bowls).
    • Any damage caused to the park or amenities by vendors will be charged to and paid for by the vendor. This includes any items owned by the Town of Firestone that are removed from the premises.
    • We will not be accepting applications out of scope of the mission of these events. The Town of Firestone reserves the right to decline any application.

    • Vendors or their staff can be turned away for what the Town of Firestone considers inappropriate behavior towards other vendors, visitors, or staff. Vendors who have been turned away will forfeit their application fee.

    By signing below, vendor recognizes and acknowledges that he or she assumes full risk of any injuries, property damage or loss which he or she may sustain as a result of his or her participation in our events. The Town of Firestone reserves the right of final decision in rules interpretation and enforcement. Further, vendor agrees to indemnify and hold harmless the Town of Firestone, its officers, employees and insurers from any and all liability for any damage, loss, injury or costs associated with or arising from his or her acts or omissions in connection with his or her participation. By signing this application, vendor also agrees to all vendor rules and regulations and items established in the application.
